Membership Terms and Conditions
By applying for and accepting membership with Lexden Wood Ltd (“the Club”), the Member agrees to be bound by these Terms & Conditions, the Club Rules, and any policies in force from time to time.
Membership constitutes a legally binding agreement. The Club reserves the right to refuse or decline any application at its absolute discretion.
2. Membership Categories
The Club offers a range of membership options, including:
- Unlimited Memberships
- Points-Based Memberships
- Couples Memberships
- Concessions Memberships
Membership benefits and access rights vary by category and may be amended at the Club’s discretion.
3. Points Membership – Specific Terms
3.1 Points Allocation & Deduction
Points are deducted at the time of booking. Points hold no cash value and are non-transferable. Refunds of points are granted solely at management’s discretion and may be refused where notice requirements are not met. The Club may amend points tariffs, peak/off-peak classifications, and booking windows at any time.
3.2 9-Hole Play
Currently, members playing 9 holes are charged full 18-hole points due to the absence of a verified monitoring mechanism. Any future 9-hole structure will be determined by management and will be more than half the 18-hole allocation.
3.3 Winter Tee Times
During winter months, mid-peak tee times may be provided to allow rounds to be completed in daylight. The Club reserves the right to adjust tee times, peak/off-peak classifications, and availability.
3.4 Points Validity & Expiry
Points are valid only within the membership year and will expire at the end of the term unless otherwise agreed. Points do not roll over automatically. 20% of unused points can be rolled if renewing the same or greater points package. If renewing to a diamond package points will not carry any monetary value.
3.5 Points Top-Ups
Members may purchase additional points packages subject to a minimum purchase requirement. Pricing will be pro rata relative to the original package. A minimum package top of £150 will apply.
3.6 Competitions & Club Representation
Points Members must use points to participate in competitions or represent the Club unless holding an Unlimited Membership. Eligibility criteria for competitions are at the Club’s discretion.
4. Membership Fees & Payment Policy
4.1 Payment Structure
Membership fees are payable annually in advance unless a 12-month Direct Debit arrangement is agreed ( Diamond packages only ). Fees are non-refundable and non-transferable once paid, except where required by law. Failure to pay may result in suspension of membership privileges.
4.2 Joining Fees
- New Members: £150 joining fee (includes affiliation).
- Existing Members Switching to Points: No joining fee; £30 affiliation fee applies.
- Diamond Upgrades: Existing members pay affiliation only.
- Returning Members (from 2023 onward due to course conditions): No joining fee applies.
The Club reserves the right to amend joining fees annually.
4.3 Affiliation Fees
All members must pay the applicable affiliation fee to cover registration with England Golf (or successor governing body).
4.4 Direct Debit & Failed Payments
Where fees are paid via Direct Debit:
- Members remain liable for the full annual fee regardless of payment method.
- Failed, missed, or cancelled payments may result in suspension of privileges until payment is made.
- Outstanding balances must be settled within 7 days of notification; administration fees may apply.
- Two or more failed payments in a year may result in cancellation of the Direct Debit, demand for full annual payment, and/or suspension/termination.
- Early cancellation of a Direct Debit without agreement will render the full balance immediately payable.
- Suspended memberships are reinstated only after clearing all outstanding sums, including fees.
5. Couples, Students & Younger Members
Couples membership is available to two individuals who are legally married or in a registered civil partnership and who reside at the same permanent address. Proof of marital or civil partnership status and shared residency may be requested.
Younger Members
The Club offers structured packages to suit varying budgets and encourage accessibility for younger members. A valid government-issued photo identification document (such as a passport or driving licence) must be provided as proof of age where required.
6. Membership Benefits
Members are entitled to access facilities according to their membership category:
- Golf course access
- Practice areas
- The Club Kitchen
Additional benefits may include priority bookings, discounts, and eligibility for member-only events, subject to category.
7. Code of Conduct
Members must:
- Follow Club rules and policies
- Conduct themselves respectfully
- Ensure guests comply with Club standards
Zero tolerance applies for harassment, discrimination, or behaviour detrimental to the Club. Violations may result in suspension or termination without refund. Disciplinary decisions by management are final.
8. Facility Usage & Course Availability
Access is subject to:
- Seasonal hours
- Weather conditions
- Maintenance or private events
Temporary closures do not entitle members to refunds.
9. Liability
Members and guests enter and use facilities at their own risk. The Club is not liable for loss, theft, or damage to property, or personal injury, except where caused by proven negligence. Liability for death or personal injury resulting from negligence cannot be excluded.
10. Amendments
The Club may amend these Terms, membership structures, pricing, points allocations, and operational policies at any time. Continued membership constitutes acceptance of updated terms.
11. Termination
By the Member: Written notice required; fees remain non-refundable.
By the Club: Membership may be suspended or terminated immediately for non-payment, rule breaches, or conduct detrimental to the Club. No refund will be provided where termination is for breach.
12. Communication
Members consent to receive communications regarding Club updates, events, and membership matters.
13. CCTV & Video Surveillance
CCTV is operated for safety and crime prevention. Footage:
- Is stored securely and retained under GDPR
- Is accessible only by authorised personnel

14. Fair Notice
The Club has provided sufficient notice regarding the transition to a points-based membership system. These changes aim to balance flexibility, accessibility, and financial sustainability.
